JOB SUMMARY: The Centralized Production Administrator is responsible for processing daily work for existing and new Installation projects. Answers and/or directs incoming calls from internal and external customers and makes periodic calls when necessary to customers, contractors, vendors and internal team members.

JOB SCOPE: Responsible for the clerical and administrative support to the National Production Team function for annual installed volume of 15M to 20M equal to a job count of 1500 to 2200 contracts which can vary due to product specifics.

JOB DUTIES/RESPONSIBILITIES:
  • Provides administrative support to Field Production Team while communicating and resolving contract issues with Sales staff
  • Answers phones and directs calls and relays messages when necessary. Performs process driven periodic member and contractor contact within determined and measured timelines
  • Reviews reports and production APC daily to ensure proper cycle time expectations are met
  • Reviews newly jobs released to production for accuracy and proceed with job recap procedure
  • Obtains job measurements and initiates permit scheduling and ordering including product tracking and communications
  • Orders products including tracking and updating of related vendor delays
  • Communicates with Project Coordinators, Area Operations Managers, Appointment Center, and outside vendors as needed
  • Reviews all completion paperwork for accuracy and ensures full payment of contractors for all jobs
  • Processes sub contractor payments and maintains check security and processes all completed jobs
  • Schedules and tracks service appointments
  • Performs miscellaneous duties as assigned

Job Requirements

JOB REQUIREMENTS:
  • High school diploma or equivalent
  • 1-2 years of related experience
  • Valid Driver License for the State of employment
  • 18 years of age or older
REQUIRED SKILLS:
  • Advanced customer service skills
  • Computer knowledge, and skill in using Microsoft Office products and web-based technology
  • Excellent organizational skills
  • Some product knowledge
  • Working knowledge of Microsoft software: Word, Excel, One Note, Outlook, Visio, PowerPoint and Teams.

  • Ability to work well under pressure & ability to meet deadlines
  • Multi tasker with attention to details
  • General office skills including phone etiquette
