The Retail Services Support Assistant utilizes broad and comprehensive knowledge, leverages resources to perform a variety of routine and non-routine duties in support of Retail Services. Provides direct day to day task and project support as assigned for Retail Services Chief of Staff.

Job Requirements

Job Duties/Responsibilities:
• Plays a critical role in assisting with managing and planning appointments, communications, travel arrangements, and meeting arrangements that may require coordination between various departments and outside parties. Exhibits good time management skills in all processes.
• Gathers and analyzes information to prepare a variety of documents including agendas, reports, correspondence, memoranda, financial and operational reports, and meeting presentations. Is able to transition material from a very rough draft into final materials.
• Assists with such duties as answering telephones, handing inquiries and/or transfers calls to the appropriate resource within the organization. Responds to all mail and other inquiries in a timely fashion; and when necessary forwards then to the appropriate Retail Services team to ensure all requests are carried out.
• Serves as Logistics manager for Retail Services by organizing large meetings/special events, such as RVP meetings, seasonal department events, annual field meetings including Holiday Rally, CitiBank conference, including coordinating agendas, handouts, planning logistics, meeting equipment needs, and other aspects of having effective events for Retail Services.
• Manages routine administrative processes for Retail Services which may include: ordering supplies, processing travel expenses, processing payments, and researching charges to the Retail Services budget.
• Supports all computer equipment, peripherals and network operational needs within Retail Services and assists with onboarding on the use of the equipment.
• Creates and maintains all organizational charts, rosters and reporting information for both Hoffman and field Retail Services. Resolves common problems for the teams supported with minimal oversight.
• Management of daily Response Tracker for SVP. Review email, sort for actionable items, enter and track on spreadsheet. Provide status of actions and follow up where necessary. Provide SVP with visibility to urgent issues.
• Provides execution support for associate onboarding, transfers and terminations including new hire support orientation, processing legal holds, coordinating recruitment of candidates and interns, credit card processing, Concur and other required system access training, BYOD program, etc.
• Performs other duties as assigned.

Job Requirements:
• Advanced level proficiency with a personal computer and Microsoft Office software.
• Knowledge of or the ability to learn other systems may be required.
• Superior communication skills: verbally and in writing.
• Able to act as the representative of the executive in various situations.
• Deal with others courteously and professionally, even in difficult situations.
• Able to balance many, and sometimes conflicting, priorities.
• Maintains confidentiality at all times.
• Self starter and creative.
• This position must reside at Hoffman Corporate Office site.

Preferred Skills:
• Requires a comprehensive knowledge of departmental and company operations, policies, and procedures or the ability to become knowledgeable in an appropriate period of time.

Education Experience: HS Graduate or Equivalent
