The Administrative Assistant is responsible for providing a wide variety of advanced clerical and administrative support for one or two senior management Associates. Duties and tasks of this position reflect substantial variety and complexity, including researching and obtaining information and preparing operational and client reports, performing budget administration, providing team support for other administrative personnel, preparing internal and external Company correspondence, coordinating meeting and travel arrangements, recording meeting minutes, preparing presentations and working on special projects. The work of this position is generally of a critical or confidential nature, and requires a broad knowledge of department and Company practices, policies, procedures, programs, product lines and systems.

Job Requirements

Job Duties/Responsibilities:
  • Performs advanced clerical duties with a high degree of urgency in a frequently changing, fast paced environment.
  • Researches and obtains information for routine, and often moderately complex reports, and complies and analyzes the data.
  • Provides report to Company management and clients as required, and makes recommendations for consideration and action by superior.
  • Prepares presentations, executive correspondence, memorandums, reports and special announcements, and distributes to internal and external sources as appropriate.
  • Acts as coordinator of departmental projects, following up on pending details, coordinating project team activities and ensuring deadlines are met.
  • Performs special project assignments, and effectively communicates with appropriate representatives from a variety of functions within the Company to accomplish goals.
  • Provides guidance to lower level clerical or administrative staff.
  • Maintains calendar of appointments, meetings and travel itineraries.
  • Attends department and center meetings, and takes minutes and documents pertinent action items for distribution to appropriate individuals.
  • Coordinates agendas for visitors to the center, and coordinates activities between departments and outside parties.
  • Coordinates meeting and meal functions and arrangements for on-site and off-site meetings.
  • Assists with planning team and center events and celebrations.
  • Performs other duties as assigned.

  • Advanced knowledge and familiarity with word processing, spreadsheet and presentation applications, preferably Microsoft Office applications.
  • Ability to type 65 words per minute (WPM).
  • Ability to communicate in spoken and written English well enough to be understood by supervisors, co-workers, and customers.
  • Ability to enter data and maneuver efficiently using a keyboard, operate a mouse, use telephone and headset equipment, and listen while keying information into the system.
  • Ability to meet the physical requirements of frequent sitting and some standing and walking, with bending and reaching as necessary. Ability to lift and maneuver up to 20 lbs.
  • Ability to demonstrate self‐control by maintaining composure and keeping emotions in check even in difficult situations and maintain confidentiality.
  • All employees/associates may in the course of their duties come in contact with Credit / Debit Card Data. If this data is exposed as part of their position in the site/center, the associate must protect that data as directed and required by the compliance team to ensure SHC's compliance to current Payment Card Industry (PCI) Data Security Standards (DSS).
Preferred Skills:
  • Bachelor's degree
  • Familiarity with similar business group or industry performance measurements.
Education Requirements: 2-Year College Degree
Years of Related Experience: 3-4 Years
